[2026] How to Refund Shipping on Shopify: A Step-by-Step Guide

Shipping refunds are common, but they’re rarely just about the money. Behind most of them sits an unhappy customer, and an unhappy customer is a quiet loss to your store’s sales. How fast and how flexibly you refund shipping often decides whether that person comes back. 

This guide explains three ways to refund shipping on Shopify. It also covers what many guides leave out: how refunds affect your fees and payouts, what each refund really costs, how to recover that value, and a ready-to-send customer email you can use today.

1. How To Refund Shipping On Shopify 

Refunding shipping on Shopify means sending back the shipping charge a customer paid, either on its own or alongside the items in their order. Every shipping refund starts in the same place: Orders in your Shopify admin. You open the order, click Refund, and choose how much shipping to return. The steps below cover the three situations you’ll actually run into.

#1 Refund shipping on a full order

Use this method when you are refunding the entire order and want to include the original shipping charge.

  • Step 1: From your Shopify admin, go to Orders.
  • Step 2: Open the order you want to refund.
  • Step 3: Click Refund.
  • Step 4: Enter the quantity of each item being refunded.
  • Step 5: Under Refund shipping, select Shipping and enter the amount.

  • Step 6: Optional: Add an internal note under Reason for refund.
  • Step 7: Review the refund method and total in the Summary section, and finally click Refund.

#2 Refund shipping without refunding any items

Use this when the customer keeps the order, but you want to return the shipping charge. This is common after a delivery delay or an incorrect shipping method. Every step looks the same as the previous option; the only difference is to set the item quantity to 0

#3 Refund shipping in a partial refund

Use the Shopify partial refund method when you are refunding some items and part or all of the shipping charge in the same action.

Enter the quantity of the items being returned and leave all other quantities at 0. Then select Shipping under Refund shipping and enter the amount you want to return.

After you submit the refund, the order status changes to Partially refunded. You can issue additional partial refunds later, as long as the total does not exceed the order’s available refundable amount.

In some use cases, if the customer paid with a gift card and another payment method, Shopify usually refunds the gift card first and sends the remaining amount to the other method. You can adjust the amount assigned to each method, up to the available balance. 

Which refund type should you use?

For a shipping refund, the real question is whether you return the original shipping charge, and who covers return shipping. Start by asking who caused the problem.

  • Your store made the mistake: If the item arrived damaged, defective, or wrong, refund the full order and select Shipping so the original shipping charge goes back too. Cover return shipping with a prepaid label. The error is yours, so absorb it.
  • The customer changed their mind: For a wrong size or a simple change of heart, refund the product cost but leave Shipping unselected, so the original shipping fee stays with you. The customer covers return shipping, which you can set as a return shipping fee in your Shopify refund policy.
  • The item isn’t worth returning: For low-value, bulky, or badly damaged products, issue a returnless refund. Letting the customer keep or donate the item often costs less than paying return shipping and restocking it.

If the carrier caused the problem, you don’t have to eat the cost. When a carrier misses a guaranteed delivery date or loses a package, refund your customer first, then file a claim to recover the shipping fee. I cover how refunding shipping really costs you and how to recover it.


2. Refunding A Shopify Shipping Label Vs. The Customer’s Shipping Charge

In Shopify, “refund shipping” can refer to two different costs. Confusing them can leave you paying for shipping you never used.

The first is the shipping charge paid by the customer at checkout. When you refund this amount, the money goes back to the customer. This is the type of refund covered in the previous section.

The second is the cost of a Shopify Shipping label. You paid this amount from your own account. If the label is never used, you may be able to void it and recover the cost. That credit goes back to your account, not to the customer.

You can void a Shopify Shipping label when both conditions are met:

  • You purchased it less than 30 days ago.
  • It has no tracking updates or carrier scans.

To request the refund:

  • From your Shopify admin, go to Orders.
  • Open the order containing the unused shipping label.
  • In the Fulfilled section, click , then select Void label.

  • Choose a reason for voiding it.
  • Click Void label and insurance to confirm.

The credit is returned to your Shopify account after the carrier processes the request, which may take a couple of weeks.

If an order is cancelled before shipment, remember to complete both steps: refund the customer’s shipping charge and void the unused label. This prevents you from paying for postage that was never used.


3. What Happens After A Shipping Refund On Shopify

Once you click Refund, Shopify handles the rest automatically. Here’s what changes so you know it worked.

  • The financial status updates, but fulfillment doesn’t. The order changes to Refunded or Partially refunded, while the fulfillment status (fulfilled or unfulfilled) stays exactly as it was. A shipping refund doesn’t un-ship an order.
  • The Timeline logs it. The order’s Timeline records the refund, the amount, and who issued it, so you have a clear audit trail.
  • The customer gets notified. Unless you deselected Send a notification, Shopify emails a refund confirmation. The internal reason you entered is never included. Funds take about 2 to 10 business days to reach their original payment method, depending on the bank.
  • Tax adjusts automatically. Any sales tax tied to the refunded shipping is recalculated and updated in your tax reports. You don’t adjust it by hand.
  • Inventory restocks, if you chose to. When Restock items was selected, the units return to available stock. Shipping-only refunds don’t touch inventory.
  • Your reports and payout adjust. The refund flows into your financial reports and is deducted from your next payout, as covered above.

4. Rules, Limits, And Fees To Know Before You Refund Shipping

Issuing a shipping refund takes only a few clicks in your Shopify admin. However, understanding the limits, non-refundable fees, and payout effects beforehand will prevent surprises on your balance sheet. Review these points before processing the refund.

#1 Refund limits and rules

  • Maximum amount: You cannot refund more than the customer originally paid for shipping.
  • Free shipping orders: If order-level free shipping was applied, there is no shipping charge to return ($0.00).
  • Irreversible: Once issued, a refund cannot be canceled or undone.

#2 What happens to payment and transaction fees?

Refunding a customer does not recover all the fees paid on the original sale. How fees are handled depends on your payment gateway:

  • Shopify Payments: The original credit card processing fee is not returned, even for full refunds. Refunding shipping means absorbing the processing fee on that charge.
  • Third-party gateways (where Shopify Payments is available): Shopify’s third-party transaction fee is not returned. Any separate fee charged by your third-party processor follows that provider’s refund policy.
  • Third-party gateways (where Shopify Payments is unavailable): Shopify credits its transaction fee proportionally (e.g., a 50% refund returns 50% of the Shopify fee). 

Note: You must process the refund through the Shopify admin, not directly in the third-party gateway portal, to receive this credit.

#3 Impact on payouts and processing time

  • Deductions: Shopify Payments deducts the refund from your next scheduled payout. If your balance is too low, it may result in a negative balance, which Shopify will attempt to debit within a few business days.
  • Customer timeline: It can take up to 10 business days for the refund to reflect on the customer’s original payment method, depending on their bank.

#4 Staff permissions required

To process refunds, staff members need specific Orders permissions enabled by the store owner:

  • Refunding to the original payment method
  • Refunding to store credit
  • Over-refunding an order previously refunded to store credit

#5 How To Recover A Shipping Refund From The Carrier

Sometimes, the shipping issue is caused by the carrier, not your store. In these cases, you may refund the customer first to protect their experience, then recover the cost from the carrier separately.

There are two main types of claims to know:

  • Guaranteed service refund: Carriers such as UPS and FedEx may guarantee delivery dates for express and overnight services. If they miss the promised delivery window, you may be able to claim a refund for the shipping fee you paid.
  • Lost or damaged package claim: If a package is lost in transit or arrives damaged, you can file a claim to recover its declared or insured value. This may cover both the value of the products and the shipping cost.

Two simple habits can help you recover more money: 

  • First, record the reason for every shipping refund. This helps you identify whether the same carrier is causing repeated problems.
  • Second, file claims quickly. Carriers often set claim deadlines in weeks rather than months.

5. Turn Shipping From A Refund Trigger Into A Conversion Lever

A customer you just refunded is one of your warmest leads. They hit a problem, you fixed it, and the moment can go one of two ways. Handled well, a shipping refund becomes the start of the next order instead of the end of the first.

#1 Can you refund shipping without refunding the order?

Yes. Open the order, click Refund, leave every product quantity at 0, then select Shipping and enter the amount. The customer keeps their items and gets the shipping charge back.

#2 Why is the Shipping option greyed out on my refund?

The order most likely has an order-level free shipping discount applied. When shipping was free, there is no charge to return, so Shopify disables the option. It is working as intended.

#3 Can a shipping refund be reversed?

No. Once you start a refund in your Shopify admin, you cannot cancel or undo it. If you refund by mistake, the only fix is to create a new draft order and collect payment again, so confirm the amount first.

#4 Does refunding shipping cost me the original processing fee?

Usually yes. With Shopify Payments, the credit card fee on the refunded amount is not returned, even on a full refund. You get transaction fees back only with a third-party gateway in countries where Shopify Payments is not available.
